How can a client trigger a workflow with a simple form so they never have to log in?

Many clients do not want to learn a new CRM or log in to a system. Give them a simple form instead, and make the form submission the trigger.

  1. Go to Forms and create a form (choose the Form option). Ask for as little as possible, for example name, email and phone; remove the phone field if you only send email. Name it, for example Review request form.
  2. Save and publish the form, then copy its URL and give it to the client to bookmark on their phone or computer. You can also put it on a QR code or business card.
  3. Connect the workflow. In the form, use the button at the top to run an agent workflow when the form is submitted, and pick an existing agent or create a new one (the trigger is set for you). Or open the agent's workflow, change the trigger from Manual to Form submission and select the form.

Each time the client gets a new customer or finishes a job, they fill out the form and the workflow runs, for example sending a review request. They never need to log in, remember a password or create a contact. It works whatever CRM, POS or invoicing system the client uses, even pencil and paper, and it is hard to mess up. If you prefer, you can trigger on an invoice paid or an appointment booked instead.

As you offer more services, add fields to the same form, such as a yes or no question, a switch, a multiple choice or a list (for example: request a review, add to the newsletter, or follow up with a new lead), and branch the workflow on the answer. Use one form for everything rather than giving clients several forms. Votel recommends designing each niche system so the client never needs to log in.
